Regional Multi-Practice Trial Firm
Replaced an answering service with structured intake, practice-area routing, and a dashboard the staff actually opens.
The problem
A multi-practice trial firm — criminal, personal injury, family, and veterans benefits — was paying an answering service more for less. It only left call notes. No real-time alerts, no leads pushed into the CRM. An after-hours emergency like a client being incarcerated could sit unseen until morning.
What we built
- Overflow and after-hours AI voice agent
- Every caller pushed into Clio Grow as a structured lead
- After-hours SMS alerts to the designated attorney for that specific practice area
- A password-gated staff dashboard showing calls, website leads, and practice-area breakdown
- In-table call recording playback served through a proxy, so recordings play without exposing credentials
- A deliberately read-only reporting architecture that cannot disturb the automation it reports on
Where it stands
- Real-time follow-up on overnight emergencies
- Automatic, structured intake instead of message notes
- Staff can see every call and lead without asking anyone
- Costs less than the answering service it replaced
A note in a pile isn't a lead.
